Position Overview: The Receptionist role is a key support that ensures the smooth and efficient operation of the office. The ideal candidate will be organized, proactive, and able to anticipate the needs of staff and guests, creating a welcoming and productive environment. This role involves maintaining kitchen and shared spaces, managing office supplies, supporting meetings and events, and handling mail and calls. The Associate will also play a crucial role in building positive relationships with the team and keeping the office running seamlessly.

Key Responsibilities:

Daily/Weekly Duties:

  • Greet Staff and Guests:
  • Welcome staff and guests with a positive attitude, creating a friendly atmosphere.
  • Build relationships with staff, anticipating their needs (e.g., brewing decaf coffee for specific team members).
  • Show guests around the office, especially those using hoteling spaces.
  • Handle parking validations for guests when necessary.
  • Maintain Kitchen and Shared Spaces:
  • Restock coffee, snacks, and other supplies.
  • Track inventory of snacks and supplies to ensure adequate stock.
  • Clean and wipe down surfaces, load/unload the dishwasher, and ensure the kitchen remains tidy.
  • Monitor Printer Stations:
  • Restock paper, toner, and other supplies.
  • Organize and maintain office supplies.
  • Conference Room and Hoteling Office Setup:
  • Ensure conference rooms are prepared for meetings with necessary materials.
  • Coordinate with attorneys regarding specific room setup preferences.
  • Inform attorneys when guests arrive and offer beverages to visitors.
  • Mail Management:
  • Scan and distribute incoming mail.
  • Manage outgoing mail and deliveries.
  • Handle Incoming Calls:
  • Answer and transfer calls professionally and efficiently.

Monthly Duties:

  • Lunch for Monthly Lawyer Meetings:
  • Order, pick up, and set up lunch for monthly lawyer meetings.
  • Order Office Supplies:
  • Track snack and supply inventory and reorder as needed to maintain stock levels.
  • Staff Meetings:
  • Attend staff meetings and contribute to discussions, providing insights where necessary.
  • Shredding Pickup:
  • Monitor the shredding service and ensure timely pickups.
  • Fridge Maintenance:
  • Conduct a deep clean of the fridge monthly, including wiping down shelves, discarding expired items, and reminding staff to take home personal containers.

Qualifications:

  • Strong organizational skills with attention to detail.
  • Excellent interpersonal and communication skills.
  • Ability to multitask and manage priorities efficiently.
  • Previous experience in office services, hospitality, or customer service is a plus.
  • Proficiency in basic office equipment and software, such as Microsoft Office and phone systems.
